Corporate email signatures, standardized company-wide
One company email signature for every mailbox. IT sets the standard once in Opensense, the fields fill from Entra ID or Google Directory, and the rest of the organization sends it.
Deploy it server-side through Exchange Online, through the Outlook add-in, or both, with the same model for Google Workspace. For every 100 employees that is nearly a million emails a year carrying the same signature.

Trusted by the world's leading brands

Company signatures drift for three reasons
Every mailbox is its own editor. Logos, fonts, and social icons drift one employee at a time. The legal disclaimer goes missing on external mail because nobody pasted this year’s version.
Changes never reach the signature. A promotion or a new phone number updates the directory and not the four thousand signatures that quote it. New hires wait on a ticket for theirs.
Nobody sees the whole channel. Marketing cannot put one campaign on every send, and leadership reads outbound mail without seeing one company. Baker Hill, a marketing team of four, described chasing rogue signatures with outdated links and compromised logos before it standardized.
A corporate standard is a template decision, not a training decision. The next paste into Outlook brings back the old logo, a different phone format, and last year’s disclaimer.
Who owns the corporate standard
Four teams touch the signature. One system lets each own its part without filing a ticket with the others.
IT and operations
One system for the tenant, and signatures that apply on the devices people actually send from. Most organizations connect Microsoft 365 or Google Workspace, build the first template, and deploy in a 45-minute session with the implementation team on the call.
Brand
The same lockup on every send, with no one-off HTML. The Opensense design team builds up to five custom signature templates a year, included with every plan, so a rebrand does not start from a blank editor.
Legal and compliance
Disclaimer and policy language locked in the template, and varied by sender or recipient country and language where the rules differ. The SOC 2 Type II report is available for vendor review through the security page.
Marketing
The same platform carries targeted email ad banners on the Pipeline and Complete plans. A team that only wants a consistent signature leaves banners off and loses nothing.
How Opensense standardizes signatures
One template set covers every mailbox. The rules that assign it run off directory attributes you already maintain, so the standard holds without anyone policing it.
Walk through deploy on a demoConnect the directory
Microsoft 365 through Entra ID, or Google Workspace through Google Directory. Names, titles, and phone numbers arrive as data rather than pasted text.
Build one corporate template
Logo, type, fields, and disclaimer in an HTML and CSS editor with live in-client preview. Reply and forward variants where you want them.
Assign by rule
Whole company, or by department, location, title, or group. Sales, legal, and regional offices vary their fields inside one brand system.
Push updates once
Change a logo, legal line, or banner in one place and every mailbox follows. Server-side, the managed block is applied after send, so a pasted Outlook signature does not replace it.
Two ways to deploy on Microsoft 365, one on Google Workspace
Server-side, Exchange Online
- Applied after send by an Exchange Online transport rule
- Covers every client and device that sent the message
- A block someone pastes in Outlook does not replace it
Outlook add-in
- People see and choose their signature inside Outlook
- Users update enabled fields such as phone or title, IT keeps the template
- The path when your security team will not approve a transport rule
Google Workspace
- Domain-wide Gmail signatures through the Gmail API
- Fields synced from Google Directory
- Same admin model as Microsoft 365
Pricing
Signature is $1 per user per month, Pipeline $3, Complete $5, on a $500 per month platform minimum plus a service plan. A ten-person company that needs five signatures is better served by a free signature generator.
The costs of a corporate standard
Server-side deployment routes mail through Opensense with a transport rule, and some security teams will not approve that. The add-in is the alternative, and mail sent from a client where the add-in cannot run goes out without the managed signature.
The other cost is directory hygiene. Attributes that are empty in Entra ID or Google Directory stay empty in the signature by design, so a rollout usually starts with cleaning up titles and phone numbers before the template ever renders.

Frequently asked questions
What is a corporate email signature?
The company-owned block on outbound mail: name, title, logo, contact fields, and legal copy, designed by the company rather than typed by each employee. In Opensense, IT or brand designs the standard once, maps the fields from Entra ID or Google Directory, and applies it across the organization by rule.
How do we standardize email signatures company-wide?
Connect Microsoft 365 or Google Workspace, build one template set, and assign it by department, location, title, or any directory attribute. Deploy server-side, through the Outlook add-in, through the Gmail API, or more than one path at once. A logo or disclaimer change is then pushed to every mailbox from one dashboard.
Can employees override the company signature in Outlook?
On the server-side path, Opensense applies the corporate signature after send, so a custom block someone pastes in Outlook does not replace it on outbound mail. The Outlook add-in lets people update enabled fields such as phone or title while IT keeps the template, branding, disclaimers, and banners.
Can different departments still look like one company?
Yes. Department-specific signatures sit inside one brand system. Sales, legal, and regional offices can vary fields, phone formats, or disclaimers while the lockup stays the company standard. Reply and forward signatures can differ from new-message signatures.
How long does a company-wide rollout take?
Most organizations finish the first deploy in a 45-minute session: connect the tenant, authenticate the directory, build a template, and roll out, with the implementation team on the call. Nothing is installed on employee devices for the server-side path.
How much do corporate email signatures cost?
Signature is $1 per user per month, Pipeline $3, and Complete $5, on a $500 per month platform minimum plus a service plan. Below that minimum, a ten-person company that needs five signatures is better served by a free signature generator.
What happens when someone’s title or phone number changes?
Names, titles, phone numbers, and photos come from Entra ID or Google Directory, so when HR updates the record the signature follows. Attributes that are empty in the directory stay empty in the signature, which is why directory cleanup is usually the real work of a rollout.
Can one standard cover several brands or domains?
Yes. One admin console runs multiple templates and rule sets, and setup configures five additional domains. A company running several brands out of one tenant does not deploy five times.
How do we keep legal disclaimers on every send?
Lock the disclaimer and policy language in the template and apply it to the whole organization, or vary it by sender or recipient country and language. The same copy then reaches every mailbox instead of depending on who pasted last year’s footer.
Is there a trial for a company-wide rollout?
Trials are available for qualified accounts. Ask for one when you book a demo.
